How does document storage work? ›

A document storage system is a system that controls the storage, sharing and organization of electronic files or captured data from paper-based documents. Document storage platforms accomplish three main objectives: Reduce the risks of documents being misplaced.

The storage providers maintain your records in warehouses specially designed for security and convenience. You don't waste valuable real estate at the office to store boxes or filing cabinets while keeping your records in a better security and climate-controlled environment that at and affordable rate.

You can store paper documents long term by organizing them in physical filing cabinets, fireproof safes and lockboxes, off-site storage facilities, or safety deposit boxes. The storage method you choose typically depends on the content of the paper documents and how often you need to access them.

Like a banker's box, a simple plastic bin is a cheap and easy way to store low-priority personal documents. Plastic bins are made for stacking, so these can be a convenient solution when you have a large number of files and limited space.
